01

Remote-First & Flexible Work

ReTectra supports a remote-first working model, allowing employees and contractors to work from approved locations while maintaining the operational standards required by clients.

Depending on the project, employees may work:

  • Fully remotely
  • In a hybrid arrangement
  • On-site at a client or ReTectra location
  • According to specific client or project requirements

Employees are expected to maintain a professional and suitable working environment, reliable internet connectivity, and the necessary equipment to perform their responsibilities effectively.

02

Working Hours & Time Zones

Because ReTectra serves clients across Europe, the UK, North America, and Asia, working schedules may vary depending on client requirements.

Teams may operate:

  • Standard business hours
  • Flexible schedules
  • Shift-based schedules
  • Weekend or extended coverage where required by contract

Employees are expected to respect their assigned schedules and remain available during agreed working hours.

03

Performance & Accountability

ReTectra is results-oriented rather than simply attendance-oriented.

Performance may be evaluated through relevant KPIs such as:

  • Customer satisfaction
  • Response and resolution times
  • Sales conversion
  • Lead quality
  • Appointment-setting performance
  • Productivity
  • Quality assurance scores
  • Attendance and schedule adherence
  • Client satisfaction
  • Project completion
  • Operational efficiency

Employees are expected to take ownership of their responsibilities and consistently meet agreed performance standards.

04

Customer-Centric Culture

Every ReTectra employee represents both ReTectra and, where applicable, the client's brand.

Employees are expected to:

  • Treat customers professionally and respectfully
  • Communicate clearly and appropriately
  • Resolve issues efficiently
  • Protect the customer's interests
  • Follow approved communication procedures
  • Maintain a positive customer experience

Our objective is not simply to complete tasks but to create measurable value throughout the customer journey.

05

Professional Conduct

ReTectra maintains a professional and respectful workplace.

Employees, contractors, managers, and clients are expected to:

  • Treat colleagues with respect
  • Communicate professionally
  • Avoid harassment, discrimination, bullying, or abusive behavior
  • Respect cultural and professional differences
  • Maintain appropriate workplace conduct
  • Resolve disagreements constructively

Unprofessional behavior that negatively affects employees, customers, clients, or the company may result in disciplinary action.

06

Data Security & Confidentiality

Because ReTectra may handle customer information, business data, CRM records, sales information, and other confidential materials, information security is a fundamental workplace requirement.

Employees must:

  • Protect client and customer information
  • Use company-approved systems and software
  • Keep passwords and credentials confidential
  • Follow access-control procedures
  • Avoid sharing confidential information with unauthorized individuals
  • Use secure internet connections when handling company or client data
  • Report suspected security incidents immediately
  • Follow applicable privacy and data-protection requirements

Confidential information must not be used for personal purposes or disclosed without authorization.

07

Technology & Equipment

Employees are expected to use reliable equipment appropriate for their role.

Depending on the position, this may include:

  • Computer/laptop
  • Reliable internet connection
  • Headset
  • Smartphone
  • CRM systems
  • Help-desk platforms
  • Communication tools
  • Project-management platforms
  • Security and authentication tools

Employees must take reasonable care of company or client-provided equipment and report technical problems promptly.

08

Communication & Collaboration

ReTectra uses digital collaboration to keep distributed teams connected.

Employees are expected to:

  • Respond to internal communications within reasonable timeframes
  • Attend required meetings
  • Keep project information updated
  • Document important activities
  • Communicate blockers early
  • Collaborate with colleagues across departments and time zones

Managers should provide clear expectations, priorities, feedback, and performance guidance.

09

Attendance & Reliability

Flexibility does not remove accountability.

Employees are expected to:

  • Follow their agreed working schedule
  • Be available during assigned hours
  • Inform their manager as early as possible about absences or delays
  • Attend required meetings
  • Maintain reliable communication
  • Meet agreed deadlines

Repeated unexplained absences, missed shifts, or failure to communicate may result in corrective action.

10

Continuous Learning & Development

ReTectra encourages employees to continuously develop their professional skills.

Depending on the role, development may include:

  • Product training
  • Customer-service training
  • Sales training
  • Technical training
  • CRM training
  • Digital marketing training
  • Communication skills
  • Leadership development
  • Industry-specific training

Employees are encouraged to identify opportunities for improvement and share knowledge with their teams.

11

Equal Opportunity & Inclusion

ReTectra aims to provide a professional workplace where individuals are evaluated based on their skills, performance, qualifications, experience, and professional conduct.

As a global organization, we value different backgrounds, perspectives, languages, and professional experiences.

12

Client-Specific Policies

Because ReTectra operates as an outsourcing and business-services partner, some employees may work directly within a client's environment.

In such cases, employees must comply with:

  • ReTectra policies
  • Applicable laws and regulations
  • Contractual requirements
  • Reasonable client workplace procedures
  • Client security and confidentiality requirements

Where policies differ, employees should seek guidance from their ReTectra manager before taking action.

13

Conflict of Interest

Employees should avoid activities or relationships that create an actual or potential conflict between their personal interests and ReTectra's business interests.

Any potential conflict should be disclosed to management so it can be reviewed appropriately.

14

Use of AI & Digital Tools

ReTectra may use modern technologies, including AI and automation, to improve productivity and service delivery.

Responsible-use requirements:

  • Never enter confidential client information, passwords, sensitive customer data, or proprietary information into unauthorized platforms
  • Use only company-approved AI and automation tools
  • Have a qualified employee review AI-generated information before it is used in customer-facing or business-critical activities

Automation supports our people — it never replaces professional judgement in front of a customer.

15

Feedback & Continuous Improvement

ReTectra encourages employees to provide constructive feedback regarding:

  • Processes
  • Customer experience
  • Technology
  • Team collaboration
  • Management
  • Workflows
  • Service quality

The company continuously reviews its operations to improve efficiency, employee experience, and client outcomes.

ReTectra Workplace Philosophy

Work from anywhere. Work with purpose. Deliver measurable results.

ReTectra believes that a modern workplace should provide flexibility without sacrificing accountability. Our teams are trusted to manage their responsibilities while maintaining high standards of professionalism, customer service, security, and performance.

Our workplace policy therefore follows five principles: Trust → Flexibility → Accountability → Performance → Growth.
